Job Description:

Key Responsibilities:

  • Answer phones and operate a switchboard
  • Assist with phone administration on Webpro software
  • Route incoming calls to specific Case Managers, Paralegals and Attorneys
  • Answer inquiries about Firm
  • Greet visitors warmly and make sure they are comfortable
  • Ensure reception area and conference rooms are tidy and organized
  • Coordinate mail flow in and out of office
  • Monitor all company faxes and voicemails; distribute to recipients
  • Collect and distribute parcels and other mail
  • Perform filing, scanning and clerical duties
  • Take and relay messages
  • Perform data entry in Litify
  • Assist with miscellaneous projects (assist Case Managers and Paralegals as needed)

Qualifications & Requirements

High school diploma or equivalent. Highly organized, action-oriented, and energetic team player.  Position requires 2-3 years of office experience.  Legal experience a plus.  Excellent verbal and written communication skills required.  Bilingual in English and Spanish preferred.   Independent self starter who can effectively prioritize tasks and help assist coworkers.  Professional in fast changing work environment and able to be flexible to work on multiple projects.  Able to be compassionate and polite to all customers and clients on the phone and in-person.  Excellent typing skills and strong computer skills with Microsoft Office required. Punctual and strong work ethic with willingness to perform any needed administrative support tasks.  Must be reliable, punctual and keep information confidential.

The work schedule is 8:30 a.m. – 4:30 p.m.  Monday through Friday. Benefits include medical, dental, vision and life insurance.

Join our wonderful legal team and have a great opportunity to learn the mass tort process while being part of a team of professionals. In order to succeed in this firm, you must have a strong work ethic, possess excellent writing and communication skills, exceptional attention to detail, good time management and be as committed as we are to providing the best service for our clients. You will collaborate with attorneys/paralegals in the mass tort process, interview clients, develop client case specific proof required to sustain a claim, assist clients with understanding the litigation and claims resolution process, relay the advice and counsel of the attorneys to clients, and prepare and file complaints on behalf of clients. AW is a professional work environment with a casual dress code. Benefits are offered including a 401k plan.

Essential Job Functions

Extensive interaction with clients over the telephone and client intake phone calls
Prepare correspondence and legal documents
Organize case files and address any issues that may arise with particular cases
Answer clients’ questions and concerns
Work with attorneys on case status updates
Collect case evidence and documentation
Communicate with third party vendors
Keep clients informed by relaying case developments
Maintain case management information in law database
Move cases forward by maintaining client files, ordering and reviewing medical records and bills
Process intake documents and follow up with clients on missing items
Calendar court deadlines and meet strict deadlines

Qualifications & Requirements

Position requires two years of experience working in an office setting. Law firm or medical industry experience preferred. High school diploma required and Associate’s degree or paralegal certificate preferred. Ability to proficiently read, write and speak English. Scheduled work hours are 9 a.m. – 5 p.m. Monday through Friday.
